Record Retention

According to best practices designed by FCMAT, the following guidelines pertaining to ASB documentation should be followed (unless specified through additional guidance set forth by District policies):

ASB Constitution, Bylaws and Charters - Permanent Retention
Equipment Inventory - Permanent Retention
Club and Council Minutes - 4 Years
Budgets - 4 Years
Invoices and Approval Documentation - 4 Years
Bank Statements & All Bank Records - 4 Years
Financial Statements & Other Accounting Records - 4 Years

New ASB360 Update Release

 

With the hard work of our team, we have just released the latest version of ASB360! We are excited to share with you the newest features and improvements to the software. 

 

We have added the Student Report which will be a huge time saver for Bookkeepers.  That report will include the students information such as name, address, phone number, student ID and email.  It will also include all of the transactions the student has made, all checks that have been written out to that student, any journal entries concerning that student and all the clubs that student has joined.  The Student Report will be extremely useful in different situations, especially when trying to track a student’s transactions and purchases.

 

In the report sections, we have also added the Transaction Summary Report.  This report shows all accounts with their beginning balances, the funds that have gone in and out of the account then finally the ending balance.  This can be done for any and all time periods.  It is nice to be able to view each account and a brief summary on a single line.

 

One of the other features we have added is the ability to print receipt copies and void receipts in ASB360.  The Previous and Next buttons can be used to browse through receipts or if the receipt number is available, there is also a search feature.  A “Receipt Copy” watermark will be printed on such receipts to avoid any confusion between a copy and the original.  In case of mistakes and/or refunds, the ability to void a receipt will move things right along.

 

Besides the additions that were made, we have also made improvements to the overall usability of ASB360 including improvements to the Fundraisers, Receipts, Checks and Deposit Slips.

2009 FCMAT Associated Student Body Accounting Manual

FCMAT has released the 2009 ASB Accounting Manual.  The manual provides best practices on student body organization internal controls and procedures.  It is a great source for developing and reviewing policies and laws relating to an ASB.  I really like the new features scattered around the manual that discuss “Fraud Alerts” and how to identify them in an ASB.

Fundraisers!

This is a great site to share ideas and give feedback on different fundraisers that your ASB or PTA has participated in over the past year.  I have seen some real innovative fundraisers lately related to student prepared artwork.  For example, a student creates some masterful art during class, and it can be sent to different companies and they will make coffee cups, shirts, blankets, and even postage with the artwork on them.  The ASB or PTA can then make profit from the sales!

Introduction to ASB360°

ASB360° is a fully web based student body accounting and operations solution. One of the main objectives of the software is to automate, to the fullest extent possible, the operations within a student body.

The primary users of ASB360° include school and district administrators, bookkeepers, teachers and students of all ages. The software is being developed, upgraded and maintained on behalf of CSM Consulting, Inc.

ASB360° integrates student fundraising tracking, student registration and many other features not commonly found in accounting software purchased off the shelf. The program allows access to a multitude of user including teachers, students and administrators. Access can be limited through an admin account that will restrict the type of activities that may be utilized.
